INTRODUCTION

 

Our Privacy Policy explains what we do with your personal data, whether we are in the process of helping you find a job, continuing our relationship with you once we have found you a role, providing you with a service, receiving a service from you, using your data to ask for your assistance in relation to one of our candidates, or you are visiting our website. It describes how we collect, use and process your personal data, and how we comply with our legal obligations to you. We are committed to protecting your data privacy rights. Our privacy policy applies to the personal data of our website users, candidates, clients, suppliers and other people whom we may contact to find out more about our candidates or whom they indicate as an emergency contact. It also applies to the emergency contact of our staff. 

Please note we record all calls, both incoming and outgoing, to ensure we provide the best service possible and to train our team to highest levels possible.

WHAT KIND OF PERSONAL DATA DO WE COLLECT?

Candidate Data

To provide the best possible employment opportunities that are tailored to you, we need to process certain information about you. Depending on the relevant circumstances and applicable laws and requirements we may collect some or all (but not limited to) the information listed below to enable us to offer you employment opportunities which are tailored to your circumstances and interest.

Client Data

We need to collect and use information about you, or individuals at your organisation, in the course of providing you services such as (i) finding candidates who are the right fit for you or your organisation; (ii) providing you with a Managed Service Provider Programmes (or assisting another organisation to do so); (iii) providing you with Recruitment Process Outsourcing services (or assisting another organisation to do so); and/or (iv) notifying you of content published by Amsource Technology which is likely to be relevant and useful to you. We may also hold extra information that someone in your organisation has chosen to inform us.

Supplier Data – 

To ensure relationships run smoothly with our suppliers we collect the details for contacts within your organisation, such as names, telephone numbers and email addresses. We’ll also collect other information such as bank details, so that we can pay you if this is part of the contractual arrangements between us.

People whose data we receive from candidates and staff, such as referees and emergency contacts

To provide candidates with suitable employment opportunities safely and securely and to provide for every eventuality for them and our staff, we need some basic background information. We only request basic contact details, so that we can get in touch with you either for a reference or because you have been listed as an emergency contact to one of our candidates or staff members.

Website Users – 

The limited amount of data which we collect from our website users is collected to only help us improve your experience when using our website and to help us manage the services we provide. This includes information such as how you use our website, the frequency in which you access our website and the times that our website is most popular.

HOW DO WE USE YOUR PERSONAL INFORMATION?

In connection with a contract between you and us or an employer -

We may use and process your personal information where it is necessary for us to do so to in connection with, or anticipation of, a contract between you and us or an employer.

  • to process your job application and otherwise manage the recruitment process;
  • help potential employers assess and process your job application;
  • help potential employers check and confirm the references that you provide as part of your job application;
  • check with any necessary regulatory, industry and/or security authorities relevant to the position that you have applied for; 

Our Legitimate Business Interest -

  • We may use and process your personal information where it is necessary for us to pursue our legitimate interests as a business for the following purposes:
  • help us identify you so we know who we are talking to;

  • train staff and monitor our services. This may mean that we record our conversations or our correspondence with you to make sure we are providing you with a good service and to make sure we keep to our legal and regulatory obligations. 

WHO DO WE DISCLOSE YOUR INFO TO?

 

Candidate Data –

We may share your personal data with various parties, in various ways and for various reasons. Primarily we will share your information with prospective employers to increase your chances of securing the job you want. Unless you specify otherwise, we may also share your information with associated third parties such as our CRM/service providers to help us provide you with the best possible service.

Client Data –

We will share your data: (i) primarily to ensure that we provide you with a suitable pool of candidates; (ii) to provide you with an MSP programme (or assist another organisation to do so): and/or (iii) to provide you with RPO services (or assist another organisation to do so). We may share your information with associated third parties such as our service providers to help us meet these aims.

Supplier Data - 

Unless you specify otherwise, we may share your information with any of our group companies and associated third parties such as our service providers and organisations to whom we provide services.

HOW LONG DO WE KEEP YOUR PERSONAL DATA FOR?

Personal data processed for any purpose or purposes shall not be kept for longer than is necessary.  Amsource Technology reviews the length of time that personal data is kept, on a regular basis, considering the purpose or purposes for which the data is held and for how long.  Any data that is no longer needed is updated, archived or securely deleted.

MAKING SURE YOUR PERSONAL DATA IS SECURE

Whilst we are committed to protecting your data privacy rights by taking steps to protect user privacy, no data transmission over the internet can be entirely secure. We therefore do not guarantee the security of personal information that you send to us, or your use of the site. Any personal information you do send is at your own risk but once we receive it we use strict procedures to safeguard it.
